The 7-Step E-commerce Order Management Process Flow

Strap in as we guide you through the entire order management process, highlighting all the essential stages along the way—from online order placement to successful doorstep delivery. Let’s begin.

1. Order Placement

The journey begins the moment a customer places an order on your e-commerce platform. This action triggers a series of automated processes within our advanced warehouse management system (WMS). At Granterion, we receive that order through the cloud, ensuring immediate acknowledgment and a swift transition to the next stage. This instantaneous communication is crucial for maintaining the pace and accuracy of the entire process.

2. Planning & Batching

Once the order is loaded into the WMS, the system goes to work, batching similar orders to optimize picking time. Our WMS then evaluates all items in the order, considering their dimensions and weights captured during the inbound and item setup process. This cartonization process ensures the ideal box is selected for shipping, reducing excess packaging and ensuring maximum cost efficiency.

3. Inventory Replenishment

In the dynamic environment of an e-commerce warehouse, inventory levels can fluctuate rapidly. If new inventory is needed in the pickable location, the system will automatically create a replenishment task to transfer stock from storage. This proactive approach to inventory management ensures the necessary products are always available for picking, minimizing delays and enhancing the overall efficiency of the e-commerce customer journey.

4. Picking & Packing

The core of order processing lies in the picking and packing stage. Our trained fulfillment team travels the warehouse, carefully collecting and verbally validating all items using our Voice System or a rapid diagnostic test (RDT). Then the completed batches are sent to the pack station, where the printed labels are scanned and the orders are assembled for shipment.

5. Shipping & Quality Check

Nobody likes receiving a product they didn’t order, which is why quality assurance is paramount in maintaining customer trust. If there are any discrepancies—such as items not fitting in the box or the wrong item being picked—our Inventory Control (IC) team is called in to validate the order.

Once the items are all packed, a shipping label is applied. Then, a weight validation test is conducted as part of a final quality check. If the package weight does not match the expected weight, it will be flagged for further inspection. This thorough verification process helps prevent errors and ensures the customer receives exactly what they ordered.

6. Loading & Order Transit

The next stage is loading, also known as manifesting. The package runs through our state-of-the-art conveyor system and is hand-loaded onto the delivery truck. This precise coordination ensures all packages are sorted and dispatched efficiently. Once the truck exits for delivery, the customer receives a shipping notification, providing them with access to real-time updates on their order status.

7. Successful Delivery

The e-commerce customer journey culminates in the successful delivery of the shipment to the recipient’s doorstep. This final transportation stage is the moment of truth, where all the hard work and behind-the-scenes efforts come to fruition. A timely and accurate delivery not only satisfies the customer but also reinforces their trust and loyalty to your brand.
